Service Support Administrator

The Service department is responsible for service and maintenance of wind farms within UK and Ireland. The service support team is responsible for supporting the activities of the technicians in the field and the administration functions of the service department as a whole.

Responsibilities:
The Service Support Administrator is responsible for key tasks & functions as follows:

Safety:
*Display current H&S documentation and relevant Dublin Airport Authority safety guidelines in the Dublin office.
*Fire safety officer duties for the Dublin office.
*Statutory Safety Inspection co-ordination with planning department, customer service and external providers.
*Booking statutory inspections with approved external vendors and maintain planned and expiry dates on service orders.
*Order safety equipment recommended for replacement or repair and co-ordinate delivery to nearest service hub.
*Upload safety certificates to SAP database portal for access.

Training:
*Co-ordination of all safety training activities for the field technicians in co-operation with supervisors, planners and training providers.
*Upload training certification to SAP database portal for access.
*Ensure all training is arranged in advance of expiry date where applicable.
*Booking and communication of technician's travel arrangements for training where required.

Administration:
*Answer general enquiries via service support shared mailbox.
*PR creation & goods receipt of purchases
*Deal with PO & invoicing queries via procurement team, communicate with stakeholders and resolve issues.
*Vendor set up and extension in relevant company codes via procurement team.
*Order stationery & consumables as required for field and office locations in Ireland.
*Manage and coordinate conferences / town hall meetings with other departments via Skype or Telepresence from the canteen or boardroom.
*Adhoc duties including but not exclusively, answering intercom, accepting deliveries, delivery dockets, scanning, booking couriers, catering orders, taxis, hotels, etc

Facilities:
*Liaise with finance department & stakeholders re rent, rates, utilities, insurance, etc. along with any facilities related queries and / or reporting
