We are seeking a highly motivated Workplace Services and Community Assistant to join our team on a one year contract.
As a Workplace Services & Community Assistant contractor at Dropbox you will report directly to the International Workplace Services & Community Manager and will have the opportunity to help support a dynamic and collaborative studio environment where Dropboxers will be excited to work every single day.
Principle Duties:
- Liaise with the onsite Community Team to fulfil the needs of the studio
- Ensure staff encounter a friendly and professional service daily that the studio is running efficiently
- Accompany vendors on site and completing daily maintenance checks
- Being in the studio daily to check all conference rooms, training rooms and event spaces are set up for meetings that day
- To be the point of contact for all event set-ups and breakdowns (All Hands, recruiting events, Hack Week, etc)
- You will manage event supplies (folding tables, chairs and requested stationery and/ or printing)
- Support Events Team on all special requests
- Partner with Corporate Engineering/AV to support on site events
- Gain full-knowledge and understanding of event spaces, layout options, as well as functional details and storage locations of all event assets
- Covering reception when needed
- Strong Communication Skills as will be working closely with the team in Dublin and the US
- Manage vendor schedules and change as needed
- Ability to juggle multiple projects and priorities at once
- Must be open to flexible working hours (days may change as well due to events)
Requirements:
- 1+ years of operations and event experience, preferably in a dynamic tech company, hotel, restaurant, or hyper-growth organisation preferred
- Strong execution skills - validated ability to handle multiple projects and priorities within agreed timelines and budgets
- Experience using Google Calendar and other G-Suite tools
- Strong attention to detail, organisational planning, time management, and multi-tasking abilities
- Thoughtful communication skills and the ability to work effectively with a spectrum of personalities
- Ability to maintain composure and sense of humour in high-pressure situations
- Passion for Dropbox and helping it scale
- Preferred qualifications
- Some experience working within a technical facilities management environment
- Vendor management skills
- Ability to move quickly and make on-the-spot decisions without sacrificing attention to detail
