Manpower is working with The University of Leeds to find an experienced Administrator.

Hours - Monday - Friday 9am - 5pm
Pay - £12.20 per hour
Contact length - 6 months (with view to extend)

Main duties and responsibilities
  • Managing shared email inboxes and handling incoming correspondence on a daily basis using Google systems and ensuring that emails are assigned or sent to the appropriate contact(s) or team members for action and/or signposted appropriately;
  • Data input and use of database systems, including maintaining the quality of data relating to health and social care research studies, which we hold in our databases;
  • Working with all members of the national Research Delivery team including our helpdesk team, to ensure that internal and external queries are dealt with appropriately in a timely, professional manner;
  • Carrying out key steps in the process for setting up research studies on our database;
  • Managing calendars appropriately where required and ensuring diary commitments are scheduled;
  • Communicating verbally and in writing with staff and stakeholders at all levels in a confident, assertive and professional manner;
  • Ensuring databases and information systems are updated promptly and accurately;
  • Maintaining email or information distribution lists, and ensuring that all individuals have access to the relevant distribution lists, documents and areas on our Google Hub;
  • Contributing to improvement projects and making recommendations for improvements to our processes and assisting in implementing any agreed changes;
  • Providing high quality administrative support to the Research Delivery team, enabling the team to effectively deliver its strategic objectives, priorities and business processes;
  • Ensuring administrative support is effective to both office-based and remote working managers and colleagues and adapting service as required to meet these needs;
  • Providing a high level of administrative support for complex meetings as required, including taking minutes, creating agendas and preparing and circulating meeting papers.

Person Specification
  • Effective communication skills (both written and verbal)
  • Education to GCSE level with English Language Grade C or above or equivalent qualification;
  • Evidence of an ability to recognise and adapt to different ways of working and show flexibility in your approach to your work with a willingness to learn new skills as required;
  • Can handle working in a fast paced environment
  • Experience of producing accurate minutes and following up any agreed action points;
  • Confident with problem solving
  • Excellent telephone manner
  • Computer literate with experience in using databases
