Job Details
An exciting opportunity has arisen to join a leading utilities company as Fleet Transport Administrators, based in Hollinwood (M35 9FF). This is a TEMPORARY ONGOING role, 37.5 hour per week (7.5 hours per day). The working hours are Monday to Friday varied shifts between the hours of 8.00am and 18.00pm. Paying £27,000 per annum!
Working as part of a Fleet team and assisting the Fleet Specialists and Fleet Supervisor, you'll be responsible for maintaining Fleet systems, booking scheduled and reactive maintenance, managing Fleet hire bookings, and supporting the wider business with daily enquiries. The role holder will partially plan their own workload, balancing conflicting priorities with minimal supervision. The Fleet Transport Administrator will maintain an effective and compliant operation across all responsible activities and ensure adherence to all legal, operational and SHE procedures, O Licence. You must have good communicative skills both verbally and in written form, showing a good level of numeracy and verbal reasoning. The Individuals will be interacting with internal operational customers.

Key Accountabilities
Able to effectively communicate with other depots and third parties.
Ability to plan workloads to achieve timed deadlines.
IT literate.
Outstanding attention to detail when producing reports and logging data.
Communication - the successful applicant will need to communicate effectively with others, both within the company and with external providers
Teamwork - the individual will need to work as part of the stock team and to work effectively with people at all levels in the organisation.
Organisation - the ideal person for this role will be able to organise their own workload to meet deadlines and assist others in organising theirs
Analysis - the role-holder will need to display attention to detail, identifying and investigating any inconsistencies and communicating these in a timely fashion.
Maintaining Fleet Systems via various management systems
Vehicle maintenance booking and Fuel Card Management
Vehicle onboarding and disposal for both new and hired Vehicles
O Licence Compliance bookings and managing bookings
Ensuring legislative responsibilities are maintained and escalated where issues are found
Manage current VOR Status reports - chase for completions
Daily Careline responsibilities phone calls emails
Deal with general enquiries and complaints
Gather, input, validate and interpret data from various sources including core systems and excel providing support and guidance to Fleet team in relation to data
Point of contact for internal customer queries and requests
Filing and record keeping for Risk Assessments / Safe System of Work Documents / Training records / Transport documentation
Preparation of Key Performance Indicators (KPI's)
Assist and support the Fleet Supervisor where necessary, with a view to tactical absence cover Working to site & contract specific SHESQ policies and procedures
Update and maintain spreadsheets, reports and trackers with a high degree of accuracy
Work collaboratively with colleagues to ensure tasks are fulfilled within agreed timelines
Supporting the team with ad-hoc administrative tasks
Specific experience
Hold current driving license
Must have a strong reading, writing and mathematical skills
Clear communication skills, with focus on attention to detail
Computer literate Excel, Word and wider Office skills
Fleet management/Transport background (Essential)
Previous call Centre experience (Essential)
An understanding of postcode areas and planning in appointments (Desirable)
Good understanding of O Licence vehicles
Skills
Knowledge of Road legislation, Road traffic and Health and Safety Regulations and hazard reporting
Excellent customer attitude
Experience of working in a similar role
Work on own initiative, proactive approach with a positive attitude
Excellent attention to detail, proficient in the use of excel and core systems
Ability to consistently work towards set objectives and tight deadlines
Excellent communication skills both verbal and written to ensure that successful relationships are established and maintained
Communicate with key internal and external stakeholders for queries and questions
Logical thinking with the ability to resolve problems quickly and effectively
