Job Title: Reception / Administrator
Location: South Dublin

Job Summary:
As a Receptionist / Administrator, you will play a key role in managing front-office operations, ensuring smooth administrative support, and assisting the finance team with invoicing and documentation. You will be the first point of contact for clients and visitors, handling incoming calls, coordinating meetings, and performing general administrative tasks.

Key Responsibilities:
- Reception Duties:
- Answer and direct incoming call in a professional and courteous manner.
- Greet visitors, ensuring they are signed in and directed to the appropriate personnel.
- Manage and distribute mail, packages, and other deliveries.
- Invoicing and Finance Support:
- Assist the finance team with processing invoices, ensuring accuracy and timely payments.
- Maintain financial records, filing, and documentation.
- Assist with accounts payable and receivable processes as needed.
- Follow up with clients or vendors regarding outstanding payments or documentation.
- Administrative Support:
- Organise and maintain office files and records.
- Manage office supplies and coordinate orders when needed.
- Assist with scheduling, booking meetings, and organising travel arrangements.
- Prepare documents, reports, and presentations as required.
- Email management
- Team Collaboration:
- Provide administrative support to the finance, HR, and other teams as required.
- Assist in coordinating company events, meetings, or training sessions.
- Other Duties as Required:
- Provide general office management support.
- Handle any ad hoc tasks as assigned by management.
Skills and Qualifications:
- Previous experience in a receptionist or administrative role.
- Excellent phone and customer service skills.
- Strong organisational skills and attention to detail.
- Experience with invoicing and basic accounting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and manage time effectively.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
